Files

The Files page contains 5 sub-sections to help the admin in managing his assets. these sections are

  • Deleted assets: Showing a list of all soft-deleted assets.
  • Uploads: Shows a list of all assets that are uploaded as images in the editor.
  • Uncategorized: Shows a list of assets that no longer have a category*
  • Hidden assets: Showing a list of assets that have a publication date in the future, of an expiration date in the past
  • Unapproved: Shows a list of assets that are either not yet approved, or declined

Deleted

When assets are soft-deleted via the front, admins can restore these assets for 30 days. After 30 days, they are permanently deleted and can no longer be restored. In this page, admins can restore or delete assets permanently, either individually (via the context menu next to the asset), or in bulk (with the bulk action buttons that appear when at least one asset was selected).

Uploads

On this page, admins have a complete view on all images that are uploaded in the editor. When images are no longer needed, admins can delete the images directly from this list (either individually, or in bulk). Kepe in mind that when a file is deleted from this list, it will be moved to Deleted assets and it will be permanently deleted after 30 days. Once an image is permanently deleted, it will no longer be visible in the page (pages) where it was used.

Aside from deleting, admins can download the image, or they can create an embed url. Embedding might be convenient for videos. If you upload a video, you can use the embed url to place it in a Video component in the editor. This way, you don't need to upload the video to a public platform like YouTube or Vimeo.

When you want to upload a video and embed it afterward, place an image component on a page and upload a video instead of an image. The video will not load in the component, but it will be available in the files page. From there you can copy the embed link and use it in the embedded video component.

Uncategorized

Normally it is not possible to save assets without a category. But as always, exceptions define the rule. In case one or more assets no longer have categories assigned, they can be found here.

Via the context menu, admins can either assign categories, or they can delete the asset permanently.


Hidden

On this page, the admins can find a list of assets that either have a publish date in the future, or an expiration date in the past. While category permissions allow users to see these assets directly in the categories, admins can see all hidden assets from all categories on this page.

Admins can change the publish and/or expiration date of assets individually, or they can use the bulk actions after selecting at least one asset.

On top of changing publish and/or expiration date, admins can change the category of the selected asset. This allows admins to move images to a different category (like an archive category) when they are expired. Admins can also delete the assets permanently from the list (single or bulk).


Unapproved

Unapproved assets are assets that either need to be approved, or that were rejected. Same as for hidden assets, with the correct permissions users can see unapproved assets in the categories. On this page, admins can approve assets individually, or use the bulk feature after at least one asset is selected. In case there are many unapproved assets, this can save the admins some time.

Keep in mind that asset detail view can not be opened from this page, so it is not possible to review the metadata of each asset before approving or rejecting.
