Tags
All the tags in the Assets extension are managed on this page. You can create, rename, replace and delete tags available for the user. The Assets extension can also be configured so that the front-end user can only choose tags from a predefined set of tags. This is the place to manage that set.

Next to each tag, you can see how many times a tag is used in the Assets extension. Admins can edit, replace, or delete tags listed on this page. When editing a tag, the updated version will be listed on every asset where it was used. But admins can also replace a tag by one or more new or existing tags.
It is also possible to delete tags that are not in use, or that shouldn't be used anymore. When you delete a tag, it will be removed from all places where it was used.
Also, keep in mind that it is also possible to delete tags that are in use. When deleted, the tag is removed from every asset on which it was used (this action cannot be undone).

Adding tags?
There are two ways to add keywords to an image (tag images):
- Manually: during upload or edit, users can add keywords in the metadata. They can either add the keywords they want, or they can choose from a predefined set of company-approved keywords. That way admins can make sure only appropriate keywords are being used. Whether new tags can be created is a setting that can be defined per Assets widget. For example: external photographers can only choose from predefined tags in the upload zone, while admins can create new tags on the “All assets” overview page.
- Auto-tagging: Kadanza uses Clarif.ai, an AI-driven tool to generate keywords. Users can generate a set of keywords and then decide which ones are appropriate before saving. We show a relevance score so you have an idea of how relevant a suggested keyword is… at least according to Clarif.ai. These relevance scores are not saved with your tag, so after saving the score will no longer be visible.
What to tag?
There are numerous ways to determine which keywords should be added to an image. Most users immediately tag things they see on an image (like the subject, the environment, or colors). But very often the company-specific keywords are overlooked while tagging. And different users will have a different approach while tagging. So having all assets tagged properly will require some discipline.
To smoothen this process, we often suggest creating a thesaurus that can be used as a guide while tagging. While this seems cumbersome at first, you will notice it is an easy and useful tool to help you set up, manage, and maintain a clear keyword structure. You can save this thesaurus in your Kadanza installation and inform users where to find it.
We usually start from a template to create the thesaurus. The columns can be updated to your specific needs. Try to define basic “pillars” of information types you want to tag, and make a list of possible tags that can be used.
Also keep synonyms in mind while tagging! It might sound strange, but people often use different words for the same things (dog - canine - hound - pooch - pup…). Depending on who is searching for an asset, other keywords will be entered in the search query.

Tagging and languages
Keywords are not translated automatically. Kadanza can auto-generate keywords in several languages, but for manually created keywords, the translation has to be added as well. This is simply because the system does not know the context of a certain word.
For example: the Dutch word for a root is the same as for a carrot (wortel). So if we were to translate the Dutch keyword “Wortel”, we can’t say if it is the vegetable or the part of a plant. When you have a multi-language installation, make sure to add keywords in all languages.
