Using collections effectively

Collections are your personal sets of assets, assets that you gathered from different categories and grouped them in a collection.

When a collection is created, you can download the entire collection with one click. But you can also share the collection with other users, both internal users as external users.

For example: you are prepping the annual report of your company. You can gather all images that should be used in a collection and then share this collection with the external design agency who will create the annual report. You can select the desired conversion for each asset that you add to the collection to make sure the correct version is downloaded.

To share the collection with other users, you can either share the collection via email, or create a share link

  • Share via email: a modal will open in which you can add one or more email addresses, as well as a short message. A Kadanza-branded email will be sent to the receivers.
  • Create share link: a shortlink will be created, and when ready it can be found in the download queue. You can copy this link and use it in an email or any other communication material

Shared collections will be available for 30 days. After 30 days, the collection can not be opened by the receivers. It is not possible to extend the availability of the collection. If you want to make sure users can always access a collection, we advise to invite these users to your Kadanza installation.


You can also invite internal users to the collection. When inviting users, you can choose if these users can only see and download assets from your collection, or if they can also manage the collection (adding/removing assets to/from the collection).

When a collection is shared with you, it will be available in the "Shared with me" section in the collections tab. Collections shared with other users remain available as long as the collection exists.

When a collection is shared with internal users, their permissions will apply to the assets listed in the collection. For example: you have full access to two categories and you add two assets from each category to a collection that you share with user B. User B can only view assets from 1 of these categories. When user B opens the shared collection, he will only see two assets.
