Fields


Fields are reusable data elements that allow admins to enrich templates, projects, and production entities with structured information.

They can be used for metadata (for example, to categorize templates by type or to define the output intent of templates) or for permissions (to control which user groups can access or edit certain templates).

1. Fields overview

In the Fields overview, admins can see all existing fields configured in the system.

Each row shows:

  • Name: The name of the field.
  • Description: Short explanation of what the field is used for.
  • Type: Defines how the field behaves (e.g., select, usergroup).
  • Used on Templates / Projects / Channels / Outputs: Indicators showing where the field is applied.
  • Updated At: Timestamp of the last modification.

The context menu (⋮) next to each field provides quick actions:

  • View: Open the field details.
  • Edit: Modify the configuration.
  • Delete: Remove the field (only available if the field is not currently in use). Note that fields that are in use can not be deleted.

2. Create new field

To create a new field, click New Field. You’ll be prompted to fill in the following details:

  • Name: Field name (e.g., “Template Type”, “Template Access”).

    Description: Short explanation of what the field controls.

    Type: Choose between:

    • Select: Allows to create a list of options that can be chosen when creating a template or project. These options can be used for classification and filtering. “Template Type” (e.g., Employer Branding, Campaign, Social Media)
    • User Group: Fields of the type usergroup can be linked to user groups and can be used to define template permissions

      Define where the field should be used by selecting one or more checkboxes:

    • Used on template
    • Used on project
    • Used on production channel
    • Used on production output

Click Save to create the field.

3. Editing an existing field

Editing is done in the same view as creation. Admins can adjust:

  • Field name and description
  • Field type (if not already in use)
  • The elements where the field is used
  • The User Group type (only applicable for user group fields)

Click Save to apply the changes.

4. Field details

Click View in the context menu to open a detailed view of a specific field. This page shows all configuration details for that field, including:

  • ID, Name, Description, Type
  • User Group Type (if applicable)
  • Indicators for where the field is used (templates, projects, outputs, or channels)
  • Creation and update timestamps
  • User Groups linked to the field (with a link to manage them)
  • Values table showing selectable options or assigned user groups, their order, and IDs
