Categories, Tags and Collections

There are multiple ways assets can be organized. The ones we offer are categories, tags and collections.


The most basic way to organize assets is by adding them to a category. That's why you have to select at least one category when uploading a new asset. These categories are configured by your system admin and are shared between every user that uses the platform.


If you want some extra flexibility to your search options you can assign tags to assets. Tags are shared between all users so be sure to check if your company has certain guidelines for tagging assets. Some companies only let you choose from existing pre-defined tags.

Working with tags

We suggest that you tag your assets in a structured way, instead of tagging randomly. Make sure your tags describe different aspects of an asset.

There are several ways to decide which tags can be used in an image, and it is often a good idea to combine these different ways. You can tag assets based on:

  • What it is (color, subject, composition, perspective, ...)
  • What you see (environment, objects, subjects, ...)
  • Business-related (service, product, activity, ...)
  • Brand related (target group, personality, values, ...)

When you start tagging assets, it is a good idea to create a list of items you want to cover in your tags and choose a strategy that fits your company's corporate vision and policy.


If you want to group assets for personal use you can add them to a personal collection. Collections are for your eyes only and assets can belong to as many collections as you want.

Once you choose the assets you want to add to a collection, click on the ‘Add to collection’ on top of the assets. Then, you need to follow 2 steps:

  1. Selecting conversion profile: This is related to the download quality for the selected assets in your collection
  2. Adding them to collection: In this step, you can either choose one collection from your existing ones or create a new one
