Asset actions
This article provides an overview of the different actions users can do with their assets, based on the permissions that the user has.

Download
When users have 'Download' permissions, they can download an asset (either the original file or a conversion) by clicking the download button.
- Original: Download the original file that was initially uploaded (this file is usually the largest in size).
- Export profile: Generates a conversion of the original file.
Download a single asset
- Select your download type from the dropdown menu
- Click the download button
- Select your assets
- Click the bulk download button right above the first row of assets
- Close the modal and wait for your requested download. When ready, it can be downloaded from the download queue
Edit
Editing an asset allows the user to update all of the available metadata, as well as the categories of an asset
Update a single asset
When you click context menu of an asset and select Edit you can edit all the available fields.
Update multiple assets
It is also possible to edit assets in bulk. The process is almost identical to the one from Update a single asset besides the fact that you are now making changes to multiple assets simultaneously.
- Make the desired selection of assets
- Click the three-dotted button '…' directly above the first row of assets
- Select Edit
- Change the values of the desired fields
When performing bulk edits, users can choose between Add and Overwrite in the edit modal.
- Add: will add the data entered in the attributes to the already available data in each metadata attribute (new data will be appended to the already existing data)
- Overwrite: new data will override the already existing data in the updated attributes.
Share
You can share individual assets with people outside Kadanza. Assets can be shared to multiple email addresses separated by a comma. You can also add an optional comment.
After you have shared the asset:
- You will receive a confirmation, including the expiration date of the share.
- The recipient(s) will receive an email including who shared the assets, when they will expire, and a link to download the assets.
- You will also receive a notification when the shared asset was downloaded by the recepient.
Upload new version
This action allows you to upload a new version of an existing asset without overwriting the original version. This can be convenient for example for z new version of a photograph that was slightly Photoshopped to make it more appealing, or an updated version of your sales slide deck
- Upload the new version of the asset by dragging and dropping, or browsing
- Categorize the asset in one or more categories. The category of the source file is prefilled but can be updated.
- Add metadata to your new version (all metadata is automatically inherited from the original version)
Browse version history
This icon indicates that the asset has multiple versions. To browse the versions, you can click the context menu and select Browse version history. When browsing you can use the Prev. and Next buttons navigate. You can delete versions and click Done once you are finished.
Duplicate metadata
If you want to upload an asset with the same metadata as an already existing asset, you can duplicate the metadata and upload a new file.
- Upload the new asset by dragging and dropping or browsing (only one file can be uploaded during this process)
- Categorize the asset into one or more categories
- Here you can alter the metadata of your duplicate (all metadata is automatically inherited from the duplicated asset)
Add note
This action lets you add a note to an asset. The notes will be visible in asset detail view.
Delete
Deleting an asset is not the same as removing an asset from a category. When you delete an asset, it will be removed entirely from every category. When you remove an asset from a category, it can still belong to other categories. So if you want to remove it from just one category you must edit the asset and take out that category.
Assets deleted from the Media library are 'soft-deleted' and can be restored by an admin from the Admin console. Soft-deleted assets are hard-deleted after 30 days.
Delete a single asset
- Select your asset
- Click the context menu
- Select "Delete"
Delete multiple assets
- Select your assets
- Click the context menu for bulk actions (above the first row of assets)
- Select ‘Delete’
Collections
Collections allow a user to create personal selections of assets, similar to a 'Lightbox' in stock image libraries. These collections can be used to download all assets with a specific conversion, or to share a selection of assets with other internal or external users.
Add a single asset to a collection
- Click the briefcase icon of the asset you would like to add to a collection
- Select an existing collection or enter the name for a new one
- Click "Add"
Add multiple assets to a collection
- Select your assets
- Click the "Add to collection" button right above the first row of assets
- Select an export profile for all the assets in this collection
- Select an existing collection or enter the name for a new one
- Click "Add"
You can also perform a couple of nifty actions with collections by clicking the context menu below a collection
- Download collection: Downloads the entire collection at the click of a button.
- Share via e-mail: Shares the collection with one or more recipients (email addresses comma separated).
- Invite users*: share the collection with other users in your installation. You can decide if each user can manage the collection (add/remove assets) or can only view and download the assets
- Create share link: Generates a share link and sends it to your email address.
- Edit: Changes the name of your collection.
- Delete: Deletes the collection without deleting the assets.
*Keep in mind that when inviting users to a collection, the users' permissions will apply to the collection. If you are allowed to see assets from two categories, and you add one asset from each category, you will see two assets in your collection. If you invite a user who is only allowed to see one of both categories, he will only see one asset in the shared collection.
